BuildPanel Privacy Policy

This policy explains what information BuildPanel Technology Inc. may handle through its public website and restricted-access BuildPanel Pricing application, and how you can contact us about your information.

Draft for owner and Canadian legal counsel review. Version 1.0. Not yet approved or effective; the effective date will be set when the reviewed text is published.

1. Scope and responsible organization

BuildPanel Technology Inc. (“BuildPanel,” “we,” or “us”) operates this website and the restricted-access BuildPanel Pricing application. This draft Privacy Policy covers personal information collected through these services, including website inquiries, estimate requests, customer and project administration, and authorized business integrations. Separate signed contracts or notices may contain additional details for particular services.

2. Information we handle

  • Contact and project inquiries: names, email addresses, telephone numbers, company names, preferred contact method, project description, location, approximate size, timelines, drawing and site-access details, and messages voluntarily submitted through our forms.
  • Estimate and customer records: contact and mailing or project addresses, selected models and options, project specifications, submitted comments, estimates, pricing snapshots, communications and records needed to manage quotes, orders, payment milestones and customer relationships where those features are used.
  • Website chat: questions, prior messages supplied in a conversation, page context, answers and related information. Chat content can include personal information you choose to type. The website keeps conversation context in browser session storage for continuity; the API can retain chat logs. An authorized lead-intake workflow may extract contact and project details from conversations.
  • Restricted application use: account or business identifiers, role and access information, activity needed to administer access, and customer, pricing or accounting information entered by authorized users.
  • QuickBooks Online (“QBO”) connection: when an authorized company administrator connects QBO, information allowed by that connection may include company/account identifiers, customer names and contact details, invoice identifiers, amounts, statuses and related accounting records required by the enabled integration. The application may also process OAuth authorization credentials and refresh tokens to maintain the authorized connection. The precise fields exchanged depend on the permissions granted and integration features in use; this draft does not claim that every category is always imported or synchronized.
  • Technical information: information ordinarily sent with requests to our website and services, such as IP address, browser or device information, requested pages and timestamps, may be processed by our application or hosting providers for delivery, security and troubleshooting.

3. Why we use information

We use information to respond to questions, prepare and follow up on estimates and project requests, provide products and business services, administer authorized accounts, maintain customer and accounting records, operate user-directed integrations, send requested or operational messages, protect our systems, resolve problems, and meet applicable legal, tax and recordkeeping obligations. We do not describe a payment-card collection or advertising-tracking practice here because it has not been verified for this site.

4. QBO authorization and control

A QBO connection must be initiated by an authorized administrator for the relevant company, using Intuit’s authorization process. BuildPanel Pricing accesses the QBO information covered by the permissions the administrator grants, for enabled customer, invoice or related business workflows. An administrator may revoke access through QBO or request disconnection from BuildPanel. Revocation stops future authorized API access once effective; it does not automatically undo completed transactions or delete historical records reasonably needed for accounting, contractual, tax or legal purposes. BuildPanel and Intuit are separate organizations; information held by Intuit is also governed by Intuit’s practices.

5. Who may receive information

Within BuildPanel, access is limited to people whose work requires it, such as personnel handling inquiries, projects, customer accounts or authorized accounting tasks. We may disclose information to service providers that support website and application hosting, databases, file storage, email delivery and AI-assisted chat, only to the extent needed for those services; our current website code includes services for email delivery, media storage and AI chat. We may also exchange information with QBO when an authorized administrator enables that connection, and disclose information where required by law, to protect legitimate rights, or as part of a lawful business transaction subject to applicable safeguards. This policy does not authorize unrelated sale of customer records.

6. Processing locations and safeguards

We use access controls and other organizational and technical measures appropriate to the information and the services involved. No internet service can guarantee absolute security. Service providers or connected services may process information outside your province or Canada, where different laws may apply; we do not claim a particular hosting region or that all information remains in Canada. If you suspect unauthorized access involving your information, contact us promptly.

7. Browser storage, cookies and analytics

The website uses browser session storage to keep chat context and a selected model while you navigate. Restricted administrator features use local storage for access state; an interface-preference cookie may be used by the application. Standard hosting or security logs may also be generated. We have not identified a dedicated third-party advertising analytics SDK in the current website code, but do not represent that no operational measurement or logging takes place. If additional tracking is introduced, this policy and any applicable consent mechanism should be updated.

8. How long information is kept

We retain information for as long as reasonably needed for the purposes described above, considering the nature of the record, active customer or project relationships, accounting and tax requirements, disputes, security needs and applicable law. Browser session data may end sooner. Removing access to BuildPanel Pricing or disconnecting QBO does not by itself erase accounting or project records that must be retained. This draft does not specify a fixed retention period because one has not been verified for every category.

9. Access, correction and deletion requests

You may contact us to ask what personal information we hold about you, to request correction of inaccurate information, or to request deletion where appropriate. We may need to verify your identity and authority before acting. Some requests may be limited by legal obligations, legitimate records-retention requirements, the rights of others, or information controlled independently by an organization or by Intuit. We will respond in accordance with applicable Canadian privacy requirements, including the Personal Information Protection and Electronic Documents Act (PIPEDA) or applicable provincial private-sector privacy law where it applies, and explain material limitations where required.

10. Changes and privacy contact

We may revise this policy as our services or practices change. The current version and effective date will appear here; material changes should be communicated as appropriate. For privacy questions, access or correction requests, or concerns about QBO-connected information, email mike@buildpanel.com. This address is the public website contact; no specific privacy officer has been identified in this draft.
